New Rental Pricing Effective May 12, 2025

The Ó£»¨¶¯Âþ is pleased to announce a new, simplified rental pricing structure for event equipment.
This change provides clear, consistent pricing for departments, organizations, and individuals reserving items for campus events.
It also gives you an easy-to-calculate cost up front, making it simpler to plan and stay within your department or event budget.

Rental Rates (for a Two-Day Period)

Chairs $0.50 each
Picnic Tables (metal) $23.50 each
Tent (20’x20′) $125.00 each
Grill $25.00 each
Plants (typically 5 delivered) $15.00
Podium $10.00
Complete Stage Setup $230.00
Stage (per 3′ x 6′ section) $50.00 each
Trash Cans (with liners and pickup) Included at no extra charge

💵 Minimum Rental Charge: $23.50

Important Information:

– Rental Period: Pricing covers up to two consecutive days.
– Extended Rentals: If you require equipment for more than two days, please contact Facilities Services for availability and additional pricing.
– Delivery: Equipment will be delivered to your event location during normal business hours.
– Setup: Tents will be set up by University staff – weather permitting. All other equipment (tables, chairs, podiums, picnic tables, etc.) must be set up by the requesting department or individual.
– After-Hours Service: If tent delivery or setup is outside of normal business hours or on holidays there will be an additional charge of $32.50 per man-hour.

Reservation Requirements:

– All rental requests must be submitted through the University’s 25Live calendar reservation system.
– Requests should be made at least one week in advance.
– Equipment availability is subject to existing event schedules and inventory limits.

Usage & Responsibility:

– Event setup items may only be reserved by and for University organization events and may only be used on University property.
– These items are not to be transported by anyone other than Physical Plant employees.
– Any loss or damage to the items will incur further charges.
– At the end of your event, tables and chairs should be taken down and stacked in the manner in which they were delivered. A takedown fee will be incurred if this is not done.
– The grill must be cleaned after use. Failure to do so may result in a cleanup fee.
– The custodial department can also provide services surrounding your event, charged at an overtime rate.

  2. Submit your event request including all equipment needed.
  3. You will receive confirmation and coordination details once your request is processed.
